What's New Minimize

The paperwork and process has changed slightly for Marshals in Charge of an event, particularly for authorizations.  This page is a tutorial on how exactly to prepare for an event and deal with submitting your report.

Below is a step by step guide for what you need to do.

Step 1: Print Forms Minimize

Print out several copies of each of the Event Paperwork forms and bring them to the event.  These forms are available on the Forms and Waivers page.

Every event must have:
- Roster Waiver: to be filled out by anyone who is not a member with a waiver on file, indicated by their having a valid blue membership card.
- Authorization Sheet: For the list table to record all authorizations, and their results.
- Marshals Sign-Up Sheet: All marshals who are participating as marshals.
- Participants Sign-Up Sheet: All combatants participating.
- Temporary Authorization Cards: To give to newly authorized combatants.

You will also need:
- Child Waiver: Only if you are authorizing youth.

Every participant MUST have a signed waiver on file. 
A blue membership card is proof of having a waiver on file.  Anyone with a blue card does not need to sign any further waivers.  Roster waivers are sufficient for waivers.  Individual waivers are no longer necessary, except for youth.

Step 2: During the Event Minimize

Fill out the required forms as usual.  Most of these forms have not changed significantly from the previous versions.

When you authorize combatants, keep the authorization sheet and have them fill out their temporary card and get the authorizing marshals to sign it.  This is very similar to the past.  The combatant will keep this temporary card as their proof of authorization but will no longer send in paperwork.  When you file your event report, the Clerk of the Roster will be notified of new authorizees automatically and will send out their cards directly.

Important note: Photo Identification is not required unless there is a doubt about whether the participant meets the minimum age requirement for the activity.

Step 3: Filing the Event Report Minimize

This step is significantly different than in the past.  You will need to:
1) Scan or take a digital photo of the Participants Sign-Up Sheet(s) and save it in PDF or JPG format (multipage PDF is preferred).  If you do not have access to a scanner or digital camera to do this, any Kinko's can scan it for you.
2) Register and/or log in to this website.
3) Go to 'Event Reports' and fill out the form, which will include uploading your scanned documents.
4) Send all collected waivers in to the Minister of Waivers, who is a deputy to the Kingdom Seneshal.

That's it, you're done!

Note: As of June 1, 2008 all reports will be collected electronically.
